Automotive Service BDC

Olathe Dodge Chrysler Jeep is looking for a BDC Representative - to join their busy service department! The Service BDC is responsible for the prompt and accurate preparation and completeness of all repair orders in the main shop

Job Responsibilities :

Have a complete understanding with and follow up all vendor purchase order process for sublet lines

Review every repair order written for proper completion, accuracy and legibility according to the applicable policies and procedure manuals.

Review every repair order for accuracy of technician time punches, parts on correct lines, advisor notes for payment responsibility (customer pay, extended service contract, insurance claim, factory warranty lines, internal policy approvals, Sunbit, fleet, etc.)

Return improperly completed repair orders to the person originating the document for correction and/or completion as necessary.

Flag the appropriate technicians for the hours earned on the operations they performed.

Ensure that all deductibles are properly documented so they are collected from the customer at the time of repair completion and/or vehicle delivery.

Ensure that extended warranty, insurance claim, fleet claim and/or Sunbit authorizations are PROPERLY recorded in CDK's CCC/CCM sub-screens and that all appropriate documentation is attached to the repair order

Ensure that all SUBLET documentation is attached, purchase orders are in balance and recorded properly in CDK

Ensure that any and all discounts are VALID and have backup, such as a coupon, web code, manager signature.

Sublet purchase orders and vendor invoices should then be routed to the service manager or fixed ops director for approval before sending them to the accounting office for AP processing and payment

Arrive and depart work at the hours designated by management.

TICKET FLOW - all repair orders should come to the booker for review. RO's with ONLY customer pay lines should then be routed to the cashier for collection/processing. RO's with warranty, internal and/or customer pay lines should be routed to the cashier for collection/processing, then to the warranty admin for claims processing. No Trouble Found/Zero Dollar/No repair performed RO's should be routed to the service manager or fixed ops director for review and sign off.

Weekly review of RTH for accuracy. Follow-up with technicians for their worksheets and to confirm any adjustments needed for upflag, backflag, training time, PTO requests, etc.

Weekly review of all applicable/related accounting schedules for cash sales, extended warranty, fleet, insurance AR, charge customers, etc.

Report to management any condition or situation that jeopardizes the safety, welfare or integrity of the dealership, its employees or customers.

Maintain a high level of personal grooming, hygiene and dress consistent with the duties of the position.
